Privacy Notice
Submitting any contribution to GDI or DigiBUILT, including GDI 2025, or registering for, attending, presenting at or otherwise taking part in any GDI-related event, means you have read and accepted the Terms and Conditions of Participation and the policies they incorporate. See clause 2.
How the GDI Conference Series collects, uses and protects personal information.
1.Who is responsible#
The Organiser of each Edition is responsible for personal information collected for that Edition. For Editions hosted by Auckland University of Technology, personal information is handled under the Privacy Act 2020 (New Zealand). Where an Edition is hosted in another country, that country’s data protection law also applies, for Malaysia the Personal Data Protection Act 2010.
2.What is collected#
The Organiser collects:
- name, title, affiliation, country and contact details;
- submission data, including paper metadata, co-author details, reviews and decisions;
- registration and invoicing details (card details are processed by the payment provider and not held by the Organiser);
- optional information such as dietary or access requirements, used only to provide for them; and
- photographs and recordings, as described in the Recording and Photography Policy.
3.How it is used#
Personal information is used to run peer review, build the programme, manage registration and payments, issue certificates, prepare publications, communicate about the Edition and, unless you opt out, tell you about future Editions.
4.Who it is shared with#
Personal information is shared only with service providers who operate the Edition (such as the submission system, registration and ticketing providers and the online platform), with Publishers and alternative outlets for the purpose of publication, and with partner organisations co-delivering an Edition where needed. It is never sold, and delegate lists are not shared with sponsors without consent.
5.Storage and retention#
Information is kept for as long as it is needed to run the Edition and to maintain the scholarly record of the Series, and financial records for the period required by law. Reasonable security safeguards are applied.
6.Your rights#
You may ask to access and correct personal information held about you by writing to the conference email address of the relevant Edition. You may also complain to the Privacy Commissioner of New Zealand or the regulator of the host country.
