Cancellation, Refund and Substitution Policy
Submitting any contribution to GDI or DigiBUILT, including GDI 2025, or registering for, attending, presenting at or otherwise taking part in any GDI-related event, means you have read and accepted the Terms and Conditions of Participation and the policies they incorporate. See clause 2.
This policy forms part of the Terms and Conditions of Participation and sets out what happens if you can no longer take part.
1.How to cancel#
Cancellations must be made in writing to the conference email address of the relevant Edition. A cancellation takes effect on the date the Organiser acknowledges it in writing.
2.Delegate registrations#
For delegate registrations without an accepted paper:
- cancellation received 60 days or more before the first conference day: refund of the Fees paid less an administration fee of 25 per cent;
- cancellation received between 59 and 30 days before the first conference day: refund of 50 per cent of the Fees paid;
- cancellation received fewer than 30 days before the first conference day, or non-attendance: no refund.
3.Author registrations#
Author registrations, and additional article registrations, are non-refundable once the paper has been scheduled in the published programme or forwarded to a Publisher, whichever is earlier. Authors who cannot attend should contact the Organiser about a recorded presentation or about a co-author presenting in their place.
4.Social functions, sponsorship and showcase fees#
Gala dinner and other social function tickets are non-refundable within 30 days of the function. Sponsorship, exhibition and Industry Showcase fees are governed by the Sponsorship and Exhibition Terms.
5.Substitutions#
A delegate may transfer a registration to another person from the same organisation at no charge up to 7 days before the first conference day by written notice. Concessionary registrations may only be transferred to a person eligible for the same concession. A change of presenting author requires the written agreement of all authors.
6.Visa refusal#
Where an in-person delegate’s visa application is refused, the Organiser will refund the Fees paid less the administration fee, provided a copy of the official refusal is received at least 14 days before the first conference day and no paper has been scheduled or forwarded for publication under that registration.
7.Matters that do not give rise to a refund#
No refund is payable because of a Publisher’s decision or requirements, the indexing status of any outlet, a change of programme or speakers, a change of format under the Terms, technical difficulties on the Participant’s side, or removal for breach of the Code of Conduct.
8.Processing#
Approved refunds are paid to the original payment method within 30 days of approval. Bank charges and currency differences are not reimbursed.
